Terms & Conditions of Hire and Service

The following Terms and Conditions govern the hire of our event decor, installations, and related services. By accepting a quote and paying a deposit, you (the "Client") agree to be bound by these terms.
1. Quotes, Booking, and Payment
1.1 Quote Validity: All quotes provided by Stargazey Decor are valid for 2 months from the date of issue.
1.2 Securing Your Booking: To secure a booking, a 30% non-refundable deposit is required. The booking is only confirmed once this deposit has been received (via BACS or Stripe) and an invoice is issued.
1.3 Final Balance: The remaining balance is payable 2 months prior to the installation/hire date. If a booking is secured within 2 months of the event, payment in full is required immediately.
1.4 Payment Method: Payments can be made securely online via Stripe (credit/debit card) or via BACS bank transfer. Payment details will be provided on your invoice.
1.5 Price Adjustments & Inflation: Stargazey Decor reserves the right to review and increase the total quote price to reflect significant increases in external costs (including but not limited to fuel, labour, and raw materials).
Any such increase will be capped at a maximum of 10% of the original quote. The Client will be notified of any price adjustment no later than 2 months prior to the event.
Should the increase exceed 10%, the Client reserves the right to cancel the booking and receive a refund of any monies paid, excluding the initial non-refundable deposit.
2. Hire Period & Minimum Orders
2.1 Minimum Orders:
For deliveries within 10 miles of Stargazey HQ (TR4 9NE), a minimum order of £100 is required (excluding installation fees & delivery).
For deliveries over 10 miles, a minimum order of £250 is required (excluding installation fees & delivery).
2.2 Hire Period: Items and services are priced for a standard hire period of approximately 3 days, commencing when our team begins the installation. Extensions must be discussed in advance and may incur amended pricing.
3. Delivery, Installation & Collection
3.1 Mileage & Logistics: Delivery and collection costs are charged at 70p per mile from TR4 9NE.
3.2 Venue Access & Contacts: The Client must provide contact details for a person onsite prior to the hire period. Stargazey Decor must have adequate, safe access to the venue at the agreed times. Any delay due to the onsite contact being unavailable or the venue not being ready may incur additional labour charges.
3.3 Client Collection: Some items may be available for the Client to collect and return. If agreed, the Client is fully responsible for the safe transit of all items.
4. Technical Safety & Compliance
4.1 Fire Safety: Where applicable (specifically for natural fibres and cottons), fabrics provided are treated with Bollom Flamebar PE6 (or equivalent) to comply with UK safety standards (BS 5867). Synthetic materials, such as certain polyesters, may not require treatment. Regardless of material, no naked flames or high-heat sources may be placed within 1 metre of any fabric or decor items.
4.2 Electrical Safety (PAT): All electrical and lighting equipment provided is PAT tested annually. The Client agrees not to connect third-party equipment to our circuits or alter installed lighting without prior consent.
4.3 Regulations (LOLER & PUWER):
LOLER: All lifting accessories (shackles, winches) undergo statutory 6-month examinations.
PUWER: All equipment is maintained "fit for purpose."
Work at Height: All installations are executed in compliance with the Work at Height Regulations 2005.
5. Damages, Missing Items & Liability
5.1 Security Deposit: Stargazey Decor reserves the right to request a refundable Security Deposit (typically 20% or a minimum of £50) prior to the event. This will be returned within 7 days of pack-down, provided all items are undamaged.
5.2 Damaged or Missing Items: Any damaged, altered, or missing items will be charged at four times the hire price. This will be deducted from the security deposit. Should the cost exceed the deposit, an invoice for the outstanding balance will be issued, payable within 7 days.
5.3 Liability: The Client assumes full responsibility for all items from the time of installation/delivery until collection. Stargazey Decor accepts no responsibility for hired items causing injury to any person, object, or premises during the hire period.
6. Order Amendments & Cancellation
6.1 Amendments: Items may be removed from the order up until 2 months before the hire period. Removals made after final payment has been made will not be refunded. Additional items may be added up until the day of installation, subject to availability and additional charges.
6.2 Cancellation Policy: All cancellations must be made in writing.
Cancellations made more than 4 weeks before the hire period result in the forfeit of the 30% non-refundable deposit.
Cancellations made within 4 weeks of the hire period will receive no refund.
7. Imagery & Marketing
7.1 Social Media & Attribution: We love seeing our installations in action! We encourage the Client and their guests to share images of our work. Where images of our installations are posted publicly or on social media by the Client or their suppliers, we kindly request that Stargazey Decor is tagged or acknowledged.
7.2 Promotional Use & Photographer Collaboration: Stargazey Decor reserves the right to photograph our installations for our portfolio and marketing. Additionally, we may request access to professional images from the Client’s photographer for use on our website and social media. In these instances, we will always provide full credit to the photographer. By booking, the Client consents to installation images being used for promotional purposes unless a request for privacy or an NDA is made in writing prior to the event.
8. Force Majeure
Stargazey Decor is not liable for failure to deliver, install, or remove items due to acts of God, fire, extreme weather conditions, or unexpected venue closures.
Privacy & GDPR Policy
Stargazey Decor is committed to protecting your privacy in accordance with the UK General Data Protection Regulation (UK GDPR).
1. Data We Collect
We collect personal information necessary to fulfil your booking, including names, contact details, event specifics, and payment transaction records.
2. How We Use Your Data
Data is processed under the basis of Contractual Necessity to generate quotes, coordinate logistics, and comply with legal tax obligations.
3. Data Sharing & Retention
We do not sell your information. Data is shared only with essential third parties (venues or secure payment processors like Stripe). Financial records are kept for 7 years (HMRC); general contact data is securely deleted 2 years post-event.
